Newbridge Arts Trail - Minutes from First General Meeting on Thursday 6 Feb 2020

Anthony Ward (AW) welcomed everyone to the meeting which was the first general meeting for the 2020 art trail. He said it would be the eleventh Newbridge Arts Trail and would be held over the weekend of 9-10 May. The purpose of the meeting was to share information about the trail and cover logistics, timetable and key deadlines.
AW circulated an attendance sheet to record contact details and any venue preferences. While the form was being circulated he asked everyone to introduce themselves and state their primary medium.
AW introduced himself and the committee members:

AW said the website had been updated for this year's trail and a submission form link could be found on the home page and on the 'News' page. He said the website had full details of the submission process and how to pay the participation fee. AW asked everyone to use the website as the first point of reference. AW said a submission form to participate must be sent in by the 5th March.
AW asked the committee to provide an update.
Finance & sponsorship: PG said the trail bank account was just over £800 in credit. Income from sponsors and participants was expected to be approx. £1200. Expenses for print, graphics and advertising was estimated at £1200. PG was pleased to advise that participation fees this year will therefore again remain at £20 per person, lower than the other Bath trails.
Social media: PG will be promoting the trail on Instagram and asked participants to tag their own posts '@newbridgeartstrail'
Publicity: AH said that the trail is already advertised on the 'Next Door' website. Details would also be published in the March-June issue of 'What's on in Weston & Newbridge'. She would contact Bath Life, the Bath Magazine and the Bath Chronicle nearer the time and details would also be listed on relevant event websites. If possible, images for publication should be hi-resolution, 300dpi and less than 1MB size.
Flyer design & distribution: AW confirmed that PG will be organising distribution of flyers and all participants are expected to help with this. The flyer is being designed with a new, hi-vis yellow header. Details regarding flyer design and distribution would be advised at the next meeting.
Venues: AW said there were three types of venue, home venue, shared home venue and group venue (Methodist Church Hall, Newbridge Primary School, Fairfield House, Art Cohort and Consciously You). Each of the group venues had a lead organiser - Jason Dorley-Brown for the Church Hall, Paulo Baigent for the Primary School and Janet Taylor for Fairfield House.
Key dates: Sat 15 Feb - deadline for applying to participate, by email, phone or at meeting on 6 Feb Thu 5 March, 7.30pm - next general meeting at 8e Chelsea Road / submission of fees, text for website and leaflet and images must be in by this date. Thu 23 April, 7.30 pm - final general meeting at 8e Chelsea Road / distribution of flyers etc. Fri 8 May, 7.00pm - pre-trail party at 8e Chelsea Road
